What to prepare before a commercial HVAC service call

A practical checklist for business owners and facility managers: the details that make the first conversation useful.

Start with the impact on your business

Explain which part of the site is affected and what changed. Is the dining room uncomfortable, one tenant space losing cooling, or an entire building affected? Include when the problem started and whether it is constant or comes and goes. These observations help describe the problem without guessing at a diagnosis.

Gather information you already have

Have the site address, on-site contact, operating hours and any available equipment model or asset number ready. A previous service report can explain what was done recently. If a fault message is visible from a normal, safe location, record the exact wording. Do not climb onto a roof or open equipment to collect information.

Plan access before the visit

Find out who controls roof access, keys, gates and equipment rooms. Share any check-in process, parking restrictions or landlord requirements. Make sure the person meeting the technician knows which area is affected and how to contact the decision-maker.

Agree on communication

Identify who can approve the next step and how they want to receive updates. Ask how the findings, proposed work and costs will be explained before additional work begins. Keep the final service record with the equipment history so the next call starts with better context.
