Planning a commercial rooftop HVAC replacement
A rooftop replacement is an equipment project and a business scheduling project. Here is what to discuss before setting an installation date.

Define the scope before the schedule
Start with the equipment serving each space, the current performance concerns and the business requirements. Ask the contractor to evaluate the proposed replacement for the site rather than choosing solely from the old unit’s label. Document what is included in the proposal and which conditions still need a site assessment.
Coordinate the people who control the site
Bring the building owner, property manager and on-site contact into the scheduling discussion. Clarify who handles access and approvals, and identify times when noise or interruptions would affect customers. A written contact list is especially helpful when the business and building have different owners.
Ask about lifting and staging
Discuss how equipment will reach the roof, where crews and equipment can stage, and how access will be managed. Ask the project team which site-specific approvals, permits and inspections apply and who is responsible for each. The plan should be established by qualified professionals before work begins.
Define the handover
Before accepting the completed project, ask what startup checks, operating instructions, warranty information and equipment records you will receive. Record the new asset identifiers and the point of contact for follow-up. Keep this information available to the people who manage the building after installation day.
